Simplifying Orientation and First Year Programs

The University of North Carolina at Charlotte, the University of Washington Bothell, and Wingate University all improved their orientation and first year programs by adopting OrgSync.

Coping with the constant tide of student leaders for orientation, welcome week, and first year experiences is a paper-heavy process.

By switching to OrgSync, Wingate University students can fill out all the required paperwork online. “It’s really nice and simple and easy to track applications,” said Brandy Shott, Assistant Dean of Student Life at Wingate University. “I no longer have to keep track of a paper trail.”

The University of Washington Bothell and UNC Charlotte also use OrgSync forms to streamline the student leader application process. “It is helpful because students can complete the application online at any time,” said Dan Scheuler, Orientation Program Manager for The University of Washington Bothell. “It’s nice that we can collect them all in one location rather than have students email their applications. OrgSync creates one quick and easy place to find them.”

“The orientation counselor process has been an outstanding success,” said Shannon Calega, Assistant Director for New Student Services at UNC Charlotte. “It helps us collect information, integrate it, use our scoring system, and take that information and tweak it for whatever means we want, whether it’s how many majors or transfer students.”

Simplify Communication

One of the problems facing orientation programs is trying to communicate constantly changing information with a large new audience. Calega was using a Wordpress website, but it was difficult to update. Shott was using a public-facing Google doc to manage registration, which had glitches and made it hard to limit user privileges.

Both were wowed by the ease, customization, and functionality of OrgSync’s website tool. Shott uses her OrgSync website to make quick updates to the calendar of events and to segment information for parents and incoming students.

Calega also found the process much easier. “It’s the quickest and easiest way to update our website, especially when switching from summer to spring information,” she said. “OrgSync is definitely the way to go in terms of having an easy website to manage. I can make changes to the website within minutes, allowing me to work around my schedule and my students’ needs.”

Save Time

Orientation program directors also found a benefit they weren’t directly expecting—switching to OrgSync made them more efficient and saved them a lot of time.

Shott found that she could easily divvy up responsibilities with coworkers, reducing her workload. “Looking back, my typical work day during the summer usually ended around 11 p.m. After switching to OrgSync, I was able to leave by 7 p.m. most days, which really saved me some time on the administrative end,” she said.

Unique Uses -


All three campuses also tailored their OrgSync experience to fit the specific needs of their campus.

The University of Washington Bothell uses OrgSync to track off-campus work done by Orientation Leaders. Through an OrgSync form, students input hours worked and list what they were working on to help administrators monitor their efforts.

Wingate University streamlined the registration process by allowing parents to pay required fees via Paypal through OrgSync. Paypal ties into their OrgSync form, making payments as simple as a click.

UNC Charlotte used OrgSync’s communication tools to share the link for orientation leader applications. “We’ve not done anything else different, but our response rate has been phenomenal,” Calega said.
